Our Search Methodology

Our Approach to Every Assignment:

Hines Executive Search Solutions will employ a very detailed and tested Search Process to conduct and complete every search that is entrusted to our firm.

1. Getting to Know the Client:

The Hines Executive Search Solutions search “team” will spend the appropriate time getting to know the Client in order to understand and assess your needs. During this phase of the process, we ask the necessary quantitative and detailed questions, and interview key Client decision makers to determine what their vision is of the ideal candidate. We also will determine from these meetings the key issues that the successful candidate will be faced with during their initial six (6) – twelve (12) months in the position so as to make certain there will be no misunderstandings between both parties. This proven process will insure that this will result in a successful transition.

2. Defining the Position Profile:

We will develop an attractive “Position Specification” that we will utilize as our external marketing collateral to pique the interest of candidates both locally and outside-of-the area.

3. Marketing & Research:

Armed with the “Position Specification”, Hines Executive Search Solutions will develop and implement a comprehensive marketing plan to reach the intended audience. The research will be conducted on a local and national basis if necessary to identify possible candidates for the position. Our research includes talking with leaders in similar positions around the country, established referral/resource networks, and any others who might be helpful in identifying possible candidates. Our goal is to identify leaders who are not necessarily currently in the “job market and looking”, but are themselves qualified by virtue of a preliminary profile review based on our Position Specification.

4. Candidate Assessment:

After identifying a target list of potential candidates, we will start the process of contacting them to assess their interest in the position. Each perspective candidate will be sent a detailed Position Specification to review and Hines Executive Search Solutions will conduct leadership assessment interviews initially via telephone to determine their suitability and their initial interest in the position. In addition to basic information gathering, this phase will allow us to ask very specific questions that will add to our evaluation of the candidate.

5. First Interim Report:

Our first report will be presented within 20 business days after commencement of the search and will include a list of candidates who pass our initial telephone interview screen. The report will contain a CV, telephone interview summary, relocation information, compensation and other pertinent information that the Hines Executive Search Solutions team and the Client will use to make decisions on the candidates we will pursue. We will schedule a meeting with the Client to discuss each candidate in detail based on our initial telephone interviews. During this meeting, we will facilitate a discussion of each candidate as well as the decision making process for selecting those candidates whom we will include in our second phase of recruitment, which is the in-person/one-on-one interviews. Once we present the finalists, the Client can review our assessment of selected candidates and provide feedback.

6. In-Depth Assessment:

Hines Executive Search Solutions will arrange for in-depth personal interviews conducted by Sam Hines with the selected candidates in their home location unless otherwise determined. We will spend approximately 2-3 hours with each candidate to further qualify or disqualify them for the position. Hines Executive Search Solutions will prepare a detailed report on each candidate and give feedback on how they match against competencies set by the Client. From this phase, we will present a recommended slate of candidates for the next part of the recruitment process – the in-person interviews by the Client. Additionally, Hines Executive Search Solutions will conduct in-depth references on each candidate presented. We will provide detailed information on every aspect of the candidate’s background, education, past job performance and other pertinent information that will assist the Client in making an intelligent decision.

7. Final Interviews and Decision Making Meeting:

Hines Executive Search Solutions will assist the Client in scheduling the final interviews with the selected candidates.  We will also facilitate the decision making meeting to select the final candidate(s). Included will be a discussion of each candidate and the value and presence they bring to the Client. Additionally, we will facilitate the discussion on compensation.

8. Post Hire:

Hines Executive Search Solutions will conduct a post-hire follow up interview during the first 30, 90 and 180 days with the hired individual to ascertain feedback as to the success of the search process and, if necessary, determine if there are any issues or questions that may need to be addressed.

9. Fees, Expenses & Guarantee:

Hines Executive Search Solutions’ normal fee is 25%, of the first year’s cash compensation excluding bonuses and relocation.

  • 1/3 of the fee is due at the commencement of the search
  • 1/3 of the fee is due after the first 30 days of the search
  • The remaining 1/3 of the fee is due within 30 days of the new employee starting with the Client.
  • Hines Executive Search Solutions will invoice the Client for Actual Expenses incurred in the search for each assignment.   Expenses will normally include those that are travel related for out of town interviews.  Any other expenses will be pre-approved by the Client. The Client will handle all travel arrangements and expenses for candidate interviews.
  • Hines Executive Search Solutions offers an unconditional 120 days guarantee on each assignment.  If the successful candidate leaves or is terminated from this position for any reason, Hines Executive Search Solutions will replace the employee at no additional costs except approved expenses.
